4. Appointment Booking and Attendance

4.1 Booking

  • Appointments must be booked in advance through agreed channels
  • We offer both in-person and online sessions
  • Confirmation will be provided prior to your appointment

4.2 Attendance

  • Please arrive punctually for your appointment
  • Late arrivals may result in shortened sessions
  • Multiple no-shows may result in termination of service

5. Cancellation Policy

  • Cancellations must be made at least 24 hours in advance
  • Late cancellations (less than 24 hours) may incur the full session fee
  • Emergency cancellations will be considered on a case-by-case basis
  • We reserve the right to cancel appointments with reasonable notice

6. Fees and Payment

6.1 Session Fees

  • Current fees are available upon request
  • Fees are payable at the time of service unless other arrangements are made
  • We accept various payment methods including bank transfer, card payments, and cash

6.2 Insurance and Third-Party Payments

  • We may accept insurance coverage where applicable
  • Clients are responsible for verifying their coverage
  • Any balance not covered by insurance is the client's responsibility

7. Confidentiality and Privacy

7.1 Professional Confidentiality

We maintain strict confidentiality in accordance with professional ethical guidelines. Information shared in sessions will not be disclosed without your consent, except in circumstances outlined below.

7.2 Limitations to Confidentiality

Confidentiality may be breached in the following circumstances:

  • Risk of serious harm to yourself or others
  • Legal requirements or court orders
  • Safeguarding concerns involving children or vulnerable adults
  • Professional supervision (anonymised where possible)

8. Client Responsibilities

8.1 Engagement

  • Actively participate in the therapeutic process
  • Provide accurate and honest information
  • Complete any agreed-upon homework or exercises
  • Communicate openly about your needs and concerns

8.2 Safety and Well-being

  • Inform us of any medication changes or medical conditions
  • Report any thoughts of self-harm or suicide immediately
  • Maintain appropriate boundaries during sessions

9. Online Services

9.1 Technology Requirements

  • Stable internet connection required for online sessions
  • Use of secure, HIPAA-compliant video platforms
  • Privacy and confidentiality in your chosen location

9.2 Technical Issues

  • Technical difficulties may result in rescheduling
  • We are not responsible for internet connectivity issues
  • Alternative communication methods may be used if necessary

10. Emergency Procedures

In case of mental health emergencies outside of session times:

  • Contact emergency services (999) for immediate danger
  • Contact Samaritans: 116 123 (free 24/7 helpline)
  • Visit your local A&E department
  • Contact your GP or NHS 111

11. Complaints Procedure

11.1 Internal Complaints

If you have concerns about our service:

  1. Discuss the issue directly with your therapist if appropriate
  2. Contact our practice manager in writing
  3. We will acknowledge complaints within 48 hours
  4. Full investigation and response within 28 days

11.2 External Complaints

You may also complain to relevant professional bodies:

  • Health and Care Professions Council (HCPC)
  • British Psychological Society (BPS)
  • British Association for Counselling and Psychotherapy (BACP)

12. Termination of Service

12.1 Client-Initiated

  • You may terminate services at any time
  • Notice is appreciated but not required
  • Outstanding fees remain payable

12.2 Therapist-Initiated

We may terminate services in cases of:

  • Non-payment of fees
  • Inappropriate behaviour or boundary violations
  • Lack of therapeutic progress
  • Clinical unsuitability for our services

13. Limitation of Liability

While we provide professional services to the best of our ability:

  • We cannot guarantee specific outcomes or results
  • Therapy involves risks and benefits that will be discussed
  • Our liability is limited to the cost of services provided
  • We maintain appropriate professional indemnity insurance

14. Website Terms

14.1 Intellectual Property

  • All website content is owned by Kitt Therapy Services
  • Unauthorised use or reproduction is prohibited
  • Links to our website are permitted with attribution
